Sean, you have given me the perfect segue. I did contact Ian, and this is what he said:
"Here's what we can do for you after talking to all parties this end: I can allow you to use space for a maximum of 30 players on the Saturday evening. Things we cant do is: I can't allow you to start before 6 PM in the evening so preferably after 7 PM. What I do reserve is the use of that space if the prerelease runs 1. long or 2. we've an unusual number of later round players just playing for fun or both.
Advertise for you.
Provide any judging staff etc as they've all worked a full day and I'd rather my staff were fresh for Sunday.
Prizes etc. You'll also need to contact Ratty about getting the tickets done for the event and made available for purchase."
I have already contacted Ratty to confirm he will "adopt" the event and put it up on the website to enable ticket buying. I will let you know what I hear back.

| That all works. We do not need advertising and we don't need prizes. We just need the space for some fun. And at $6 for the space and $2 for the maps I think it will be a blast (and I'm not saying everyone has to kick in for the maps, but it wopuld help Chad out). I'd even ba willing to give a few dollars more if a couple could be laminated.
I also think that 7:00 is a fine time as well will not run to late and we are trying to have fun.
It would appear that we still need to hear some confirmations from people, so let me know if you will be attending. | | Sean Banks Champion of Elementals Official Organizer Gen Con 05 maxminis Event | Winterfantasy 06 maxminis Event | Gen Con 06 maxminis Event | Winterfantasy 07 Community Event

| I didn't expect them to provide judges, but Ian's request to provide our own got me thinking...how exactly will judging work? Judge by concensus? Defer to the one with the most experience or highest DCI rank? Does someone have to sit out and be a neutral judge?
I don't have a preference for any of the ways, just curious. (Although I don't much care for the last one, since that means someone can't play) | | Champion of the Thoqqua

At GenCon I think we judged by committee. Most people are pretty easygoing, and with enough of the top players in the room a consensus is usually really easy to come by. I don't think we had any trouble. It's much more casual than what you might otherwise experience, and everyone who is playing is a member of the boards, so it's not like the ill-mannered 13 year old quotient is very high. | | -DaemonKain Proud Mascot of Team Amish

Remember, this is a non-sanctioned event (though winners will get first pick at what is likely to be a pretty cool prize pool!), and is meant to be FUN!
There is a chance that Striderlotr or I may sit out if we think that our attention is going to be needed in managing the event vs participating, but I don't think that is likely. More likely than not, you can lean over to the next set of players an ask for a ruling.

Of course if they aren't managing anything then how would they know how many people are playing. | Well, we had at our peak about 25 people signed up. At least a few have indicated that they may or definatley won't be participating because of the LG Open Fiesta (Markdragon, and Black Flame Zealot at least).
That said, as you don't have to pay for your ticket till you arrive, I suggest that once we get things set, that we start a new thread in General to get everyones attention, and point out to them that they need to go reserve a ticket ASAP to assure themselves of a slot to play.

| I really would not stress too much over this. I highly doubt that they will really audit our participation levels. After all, as Ian siad, the WotC guys will mostly go back to their rooms and rest for Sunday [:)]. I see the number as communicating to us an approximate number of people that can be comfortably accomodated in the space we will have available. I'm sure 32 will fit, but we might be disappointed if we try to fit 50 in the sapce we are given.
Also, as pointed out above, we don't even have 30 people sure to come yet.

If it comes down to it, I will sit out to be impartial and help organize stuff (or bounce if people have started hitting the beer prizes early).
I am going to play but judging is helpful and fun in its own way. Course, my knowledge of the rules isnt perfect. Hrm.. | | Minis... Serious Business Completed Trades (18 ) | Pending Trades (0) Ebay seller to Avoid –Fantasy_Quest_Dist

| So what is the likelyhood that anyone will bring boosters from Archfiends or Giants of Legend? I ask because it's sort of important for a map I am working on and might submit to the contest.

I hope there will be plenty.
This is 200 point, so I'll take this opportunity to point out that GoL are legal, but when a GoL booster is popped during the draft, the person who brings that booster just keeps the huge, and puts it to the side...
I had Archfiends at GenCon... I'll have to check my stash and see if I have any left to bring.

| I may pick up 2 boosters of GoL as I have found a store with a bunch. Or, I'll bring some newer stuff.
As for the judges. I ran the event and played as well. With the use of index cards it will be much easier for me to do this. As long as we have players who are not mean or obnoxious then we are fine. As this is a fun event and everyone wins prizes, I think this method will work again.

I mentioned in another post (Suggesting that Shoe, or any WotC folk might be able to show up with WD) that we allow it. Now that I think about it, there will be a good number of WD boosters in circulation at that point (2 cases worth anyway!). I think we should!

| A new topic for conversation:
Number of Rounds, and Prize distribution.
The GenCon tournament was far bigger than we expected when we first started to plan it. It was a success, but it wasn't as well organized as we'd like.
One of the things that bothered me a bit, was that people started dropping after just 1 round, and taking prizes out of the prize pool. I know that several valuable items (early GMR Repaints, MSD Promo etc.) were taken before the 3 rounds were up. I didn't think that was overly fair for the people who stuck around for all 3 rounds.
SO, I propose this year to either NOT hand out prizes to people who leave early, or to severly limit those prizes (i.e. only tiles/maps/standard repaints) unless they finish the tourney.
Of course, that begs the question, how many round will we run? With attendance capped at around 30, we "could" have 1 player undefeated after 4 rounds, though we might find ourselves with 2. 5 rounds would guarantee just 1 undefeated player for up to 32 participants.
BUT, 5 rounds will likely stretch well past midnight.
I'm suggesting that we plan on 4 rounds, that should let us divy up the prizes at around midnight or so. Very vanilla prizes (like I said, standard repaints, tiles, maps, will be set aside, and distributed to participants who do not wish to play all 4 rounds.
Like at GenCon, we'll allow people to choose starting with whomever has the best record and working our way down. Everyone will win something, and will obviously walk away with 2 boosters worth of figures anyway! At GenCon, even those who didn't do incredibly well, still got some great prizes. In my mind the top 10-15 players got A+ rewards (Custom repaints, Harbinger Boosters, Imported beverages, etc.), and EVERYONE got more than 1 pick out of the pile!
Sound fair?

| Pat, As an earlier leaver (my wife was alseep on one of the tables) I thought you did a good job of keeping us early leavers from getting good prizes (I had a booster of archfiends) but I do understand. I think this one will go much better since there isnt a big tournament the next day. 4 rds sounds great and I think your proposal looks good too. Maybe set some of the prizes aside as the early leave box. | | Im out- find me on Hordelings if you want to chat. | |

| I also agree with 4 rounds.
I did the best I could with prizes going to all who played last year at Gencon, but it would be so much easier to say all prizes will be handled at the end of the event. As there is not a major event the next day, this should be easy.
Remeber for prizes it can be anything... a couple of rares, some repaints, what ever. Some people through in some great stuff and others added multiple rares. We had enough that even after people left early, everyone got to pick from the pile twice. | | Sean Banks Champion of Elementals Official Organizer Gen Con 05 maxminis Event | Winterfantasy 06 maxminis Event | Gen Con 06 maxminis Event | Winterfantasy 07 Community Event

Great! We're glad to have you guys participating in the fun!
Shoe: can you confirm for me that WotC is looking at Winter Fantasy more closely as a major event for the DDM Line? It obviously looks that way (with the vintage tournament), but they didn't send nearly as many Design/R&D guys the last 2 years....
I Look forward to seeing you again!
